Editing lessons shared by several courses

Change the title, time, place or link of a recurring lesson or of a lesson shared by several courses, choose how far the change goes and notify students.

A live lesson can repeat (for example every Monday until the end of the course) and can be shared by several courses: the same Maths lesson, at the same time and with the same teacher, for ten classes. In Aladia a shared lesson is one lesson that appears in the calendar of every course: change it "everywhere" and you change it for all of them.

How far a change goes

When you save a recurring lesson you choose which occurrences to change:

  • This occurrence only: only the day you opened;
  • This and the following ones: that day and every later one;
  • All occurrences: the whole series, but only lessons that have not ended yet. Lessons already held never change: the title, time, place and materials of a past lesson stay as they were.

When the lesson is shared by several courses, the event dialog in the calendar also asks in which courses:

  • Change everywhere (default): in every course that shares it;
  • This calendar only: only in the course you are editing from. From then on that lesson, in that course, has its own copy: later changes made "everywhere" bring it back in line with the other courses.

The two choices combine: for example This and the following ones with This calendar only moves all the upcoming lessons of a single course.

The lesson dialog on the course page (Content) does not ask for courses: the change applies to every course that shares the lesson.

What stays as it was

A change only touches the fields you edit. In particular:

  • the lesson's subject and level stay (also with This calendar only), and so does the responsible teacher;
  • an ongoing substitution stays: the substitute keeps teaching the lesson even if you move it or change it for one course only. See Temporary substitutions;
  • the chosen room (Aladia, subject, level, Google Meet) stays unless you change it.

Notify students

When you change the title, time, place, link or room of a course lesson that has not ended yet, a Notify students checkbox appears under the form, on by default as in the substitution dialog:

  • each student gets one notification per change, even if they follow several courses that share the lesson;
  • the notification says what changed, on which days and how many lessons; it opens the course page;
  • it only covers upcoming lessons: editing a past lesson notifies nobody;
  • whoever makes the change is not notified.

Turn the checkbox off and the change is saved without notifications. Description, attachments and books do not show the checkbox.

Published courses: what students see

Today some changes reach students immediately and some only when the course is published again:

So after important changes to a published course, publish it again. A course option to choose whether lesson changes apply immediately or only at publication is being prepared.

In the Calendar: each calendar shows its own lessons

In the Calendar every course has its own calendar in the Calendars menu, with a checkbox. A lesson shared by several courses appears once in every calendar that is on, with that course's colour and name: with ten courses on you see it ten times, with one course once, with none it disappears. Unchecking a course hides its lessons, including the ones it does not share.

Opening the lesson, the dialog tells you which courses have the same lesson: all of them, also the ones you turned off (marked as hidden) and, at the end, how many other calendars you cannot see contain it.

Checkboxes stay: after a reload the Calendar opens as you left it. Courses are remembered per course: a course you turned off stays off even when it is republished; a new course you are enrolled in shows up on. Courses you turn off stay off on all your devices: turn a course off on your computer and it is off on your phone too. They are kept per workspace: your personal workspace and each academy have their own checkboxes.

Students' Home

Students (and Viewers) of an academy see Today's meetings on their Home like teachers do, built from the calendars of the courses they follow: the lessons of the day (or of the period chosen with the picker), with the Substitution badge when a substitute teaches them. A lesson shared by several courses appears once.

External calendar (iCal)

The calendar's iCal link (Google Calendar, Apple Calendar, Outlook) contains one event per lesson even when the lesson is shared by several courses you follow, with the place and the courses as categories. A lesson rescheduled to another day shows as cancelled on the original day and confirmed on the new one.
