Stripe

Connect the workspace's Stripe account, even if you sign in to Stripe with Google or a passkey; payment methods, team, disconnecting and common issues.

Settings › Integrations › Stripe connects the workspace (an academy or your personal profile) to the Stripe account it uses to get paid for course sales. The connection is a Stripe Standard account (Stripe: Standard accounts):

  • the account is yours, with the full Stripe Dashboard at dashboard.stripe.com;
  • payments go straight to your account: your name is on the receipt and on the bank statement, you pay the Stripe fees, and you handle refunds and disputes from your Stripe (Stripe: direct charges);
  • if you disconnect Aladia, the Stripe account stays yours with all its data.

To connect Stripe you need the Owner, Admin or Billing role in the workspace.

Two ways to connect

While Stripe isn't connected the page shows two buttons. Pick the right one before you start:

The same two buttons also show in the course builder › Pricing, under the Free / Paid tabs, when you pick Paid and Stripe isn't connected yet: you can connect it from there without leaving the course. With I already have a Stripe account the course changes are saved before going to Stripe and, after Connect, you're back in the course builder instead of Settings. With Stripe connected, the same spot shows a row with the status (Connected or To complete, with Continue verification) and Manage, which leads here. Anyone without the Owner, Admin or Billing role only sees a note to ask an academy admin to connect Stripe.

I already have a Stripe account

  1. Press I already have a Stripe account. Stripe's connect.stripe.com page opens.
  2. Sign in to your Stripe account. If you're already signed in to dashboard.stripe.com in the same browser, Stripe recognises you and doesn't ask for the password again.
  3. If you have several Stripe accounts, pick the academy's.
  4. Press Connect: you're back on Settings › Integrations › Stripe (or in the course builder, if you started there) and see Stripe connected.

Finish the connection within 15 minutes of pressing I already have a Stripe account. If time runs out the page says The connection expired: press the button again.

You sign in to Stripe with Google or a passkey

Stripe lets you sign in with a Google account or a passkey instead of a password. To connect the account to Aladia:

  1. First open dashboard.stripe.com in the same browser and sign in the way you always do: with Google or your passkey.
  2. Go back to Aladia and press I already have a Stripe account: Stripe sees you're signed in and lets you pick the account without asking for a password.

If Stripe still asks for email and password, also set a password as a backup sign-in. Google and the passkey keep working as before (Stripe: sign in with a Google account):

  1. On dashboard.stripe.com open your profile (top right) › Personal details.
  2. Set a password and save.
  3. Go back to Aladia, press I already have a Stripe account and sign in with email and password.

The Stripe mobile app

The Stripe app for iOS and Android doesn't support signing in with Google (Stripe). Connect Stripe from a computer, or set a password as above.

"A Stripe account already exists for this email address"

You see this message if you pressed Create your Stripe account with an email that already has a Stripe account. Two options:

  • you want to use the account you already have: close the window, go back to Aladia and press I already have a Stripe account (follow the steps above if you sign in with Google or a passkey);
  • you want a new account for the academy: choose Use a different email address and continue with another email. You get a separate Stripe account, with its own data, bank account and payments (Stripe: multiple accounts).

Create your Stripe account

Create your Stripe account opens Stripe's onboarding inside Aladia. Stripe asks, in this order, for:

  1. the email and password of the new Stripe account;
  2. the business type (individual, sole trader, company), the business details and the legal representative;
  3. an identity document, if Stripe needs one;
  4. the bank account for payouts.

Stripe checks the details; it usually takes a few minutes, sometimes a few days (Stripe: activate your account). You can stop and pick up later with Continue verification.

After connecting

The page shows the status read from Stripe right now:

The badge at the top reads Connected when payments and payouts are on and Stripe isn't waiting for anything else; otherwise it reads Action required.

Requested by Stripe lists the details Stripe is waiting for: orange ones are needed now, grey ones marked later are asked once you pass certain volumes (Stripe: capabilities and requirements). Press Continue verification to provide them.

Your courses in the Stripe Product catalogue

Paid courses show up in the Product catalogue of your Stripe (Stripe dashboard › Product catalogue, Stripe: manage products), one per course, with:

  • the course name and description;
  • the cover, when the course image is public;
  • the prices: the full price and, for courses in instalments, down payment and instalment (monthly, weekly or daily like the plan).

People who enroll in an edition that has already started (with open enrollment) get a subscription with instalments recalculated over the due dates left: on Stripe you see the same course product with an instalment amount different from the catalogue one. That is expected.

Every sale on Stripe is then linked to the course product. Aladia creates and updates them when you publish or republish the course:

Change prices from the builder, not from Stripe

Change price, name and cover from the course builder. A change made directly on Stripe would be overwritten at the next publication, and checkout always uses the price published on Aladia.

If you connected Stripe after publishing your courses, Aladia adds them to the catalogue by itself when you connect.

Coupons

Course coupons show up in your Stripe too, in Product catalogue › Coupons (Stripe: coupons and promotion codes): one per coupon, valid only on the course product, with name, discount (percentage or amount in the course currency) and expiry. The coupon's promo codes show up as Stripe promotion codes, with the same code, active while the coupon is active on Aladia.

Coupons are managed from the builder

Create and edit coupons from the course builder (Price › Coupons). Aladia decides whether a code is valid (expiry, course, active): a coupon created or changed directly on Stripe doesn't work in Aladia's checkout.

Payment methods

Cards are always on. Other methods (SEPA Direct Debit, Klarna, PayPal…) are turned on in your Stripe: Payment methods › Manage on Stripe opens the right Dashboard page (Stripe: payment methods). Checkout shows them by itself when they're on and fit the purchase: Klarna, for example, doesn't show for installment courses, because the card has to stay saved for the next installments.

Apple Pay and Google Pay need nothing from you: Aladia registers your site's address on your Stripe (<slug>.aladia.io and your own domain, once it's active) (Stripe: payment method domains).

Stripe team: who else can get in

Stripe access isn't managed in Aladia. To give other people access (another admin, your accountant), invite them to your Stripe account's team: Team and security on Stripe opens the right page (Stripe: team members). Each person can sign in to Stripe with their own password, Google or passkey.

In Aladia, the academy's payments are visible to the Owner, the Admins and people with the Billing role: see Payments: who gets paid and who buys.

Refunds, disputes, unpaid installments

You handle them in your Stripe:

  • refunds: Payments › pick the payment › Refund (Stripe: refunds). Course access isn't removed automatically: if needed, remove the person from the course members;
  • disputes (chargebacks): Stripe notifies you and walks you through the response (Stripe: disputes);
  • unpaid installments: Stripe retries the charge according to your settings (Stripe: Smart Retries); meanwhile course access is suspended and comes back by itself once the installment is paid. Details in Selling in instalments.

Disconnecting Stripe

⋯ › Disconnect removes Aladia from your Stripe account:

  • paid courses can't be bought until you connect an account again;
  • the Stripe account stays yours, with payments, customers and subscriptions. You can reconnect it any time with I already have a Stripe account.

If you instead remove Aladia from the connected applications in your Stripe Dashboard, Aladia notices and shows Stripe as disconnected.

Old-style Stripe accounts

Accounts connected before the move to Stripe Standard were managed by Aladia and had no Stripe Dashboard: details and bank account are edited in Details and bank account, on the page itself. Switch to Stripe Standard retires the old account and creates one of your own, with the Stripe Dashboard. Paid courses can't be bought until the verification is complete.
