In-person assessments and paper copies
Assessments sat in class on paper - students' copies uploaded by the teacher, the class PDF split among students, absences, grades without a copy and the grade history.
An assessment can be online (the student sits and submits it in the platform) or in person (in class, on paper). In person the platform does not expect any online submission: the teacher uploads the students' copies, marks absences and grades.
Choosing the mode
The mode is a setting of the assessment: Exam settings → How it is sat → Online or In person. Online is the default. A course teacher without roles on the exam collection can change it for their class only, with the override (the assessment row in the builder's Content).
In person, time limit, question shuffling and proctoring do not apply and are hidden from the settings; the threshold and the points, which come from the exam document, stay.
For the student an in-person assessment has no Start button, is not listed under To do and gets no submission reminders: it shows as In class until it is graded.
Changing the mode when there are submissions
Nothing is lost:
- from online to in person: online submissions already made stay valid and are graded as before; students who have not started no longer sit it online, their copy is uploaded from the submission;
- from in person to online: copies, grades and absences stay; students with neither a copy nor a grade will be able to sit it online.
Opening the original assessment
Open the assessment (on the assessment row and in the submission dialog) opens the original exam read-only, with the answer key: correct answers, points per question and grading notes. It is for graders only; it never reaches students.
Uploading a student's copy
Open the student's submission (click their name in the assessment) and use Upload the copy: photos (JPG, PNG, WebP) or PDF, several files at once, up to 20 per submission. Thumbnails open in a full-size viewer, file by file; the bin removes a file.
A submission without a copy moves to Copy uploaded · to grade at the first upload and appears in the To grade queue on the Home. A copy can also be uploaded to an online assessment, for example when a student sat it on paper.
The only copy behind a grade cannot be removed: upload the other copy first, or give the grade a reason.
Uploading the class PDF
If you scanned all the copies into one PDF, use Upload copies on the in-person assessment:
- choose the PDF: the page thumbnails appear;
- the suggestion splits the pages in roster order (alphabetical), Pages per student at a time; change the number and press Suggest to redo it;
- fix the rows that are off: the student from the menu, the pages in the field next to it (
3-4, or5, 7). Under each thumbnail are the initials of the student it goes to; a page assigned to two students is marked in red and blocks the upload; - Split and upload: every student gets their PDF in their submission.
Unassigned pages are left out. Students marked absent are listed last and get no pages in the suggestion.
Absent
On an in-person assessment, from the submission dialog, Absent marks the student as absent. It is not a zero: the absence stays out of the class average and of the student's. Clear absence puts the assessment back to waiting for the copy; uploading a copy clears it by itself.
Grading without a copy
You can grade without a copy (for example an oral test instead of the written one), but a short reason is required: an assessment shown as Graded always has something behind it, the online copy, the paper copy or the reason. Only staff see the reason: the row shows no copy, the reason appears on hover and in the history.
In the assessment list the grade is typed in the row only when there is a copy; without one the row shows Grade, which opens the dialog with the reason.
The grade: always on the exam's scale
Grades are shown everywhere on the scale of the exam document, with the percentage next to it: 7.3/8 · 91%. Points and percentage come from the same score.
The grade history
Every change of grade, absence or comment leaves a line in the history, which is never rewritten. At the bottom of the submission dialog, Grade history shows, newest first:
- the grade (or Absent) and the previous one;
- who changed it and when;
- where it comes from: auto-scoring, online copy, paper copy, without a copy (with the reason), attendance;
- when a substitute gave it, whom they were substituting: 7.3/8 · Elena Ferrari · 18 Sep 10:12 · substituting Davide Russo.
In the assessment list, edited next to the grade says that the history has more than one line. Grades given before the history existed show a single line, rebuilt from who graded and when.
Changes also go to the academy's activity log.
Substitutes
With a substitution that also hands over grading, during the period and only for assessments of the covered subject or level, the substitute can open the original assessment, upload and remove copies, mark absences, grade (also without a copy, with a reason) and revise the grades they gave. The history records the substitution. When the period ends, the assessments go back to the regular teacher, who can regrade them.
What the student sees
The student sees the current grade on the exam's scale, who gave it and when, the comment and their own paper copy (Result). They do not see the history or the answer key; if the grade was revised, regraded on … appears.
The history stays with the staff because it is a working note: intermediate grades, reasons and substitutions are not the student's concern, while the student always knows whether the grade changed and when.
