Versions and the academic year
How a course's versions work, what happens to versions when you prepare and publish an academic year, and what becomes of a teacher's draft.
A course's versions
Every change to a course creates a version: a snapshot of the course, its chapters and lessons. You find them in the builder's Versions panel.
- Versions are in a row: there is always one latest version (the one you edit in the builder) and at most one published version (the one students see).
- If you edit a published course a new draft version is born: students keep seeing the published one until you publish.
- Later edits to a draft show in the panel as revisions of the same draft.
- Adding or removing a cycle creates a version; moving a cycle's dates doesn't.
| Action | What happens |
|---|---|
| Create version | copies the latest version into a new one |
| Restore | copies the chosen version on top of the row; the others stay |
| Publish | publishes the latest version (right away for the academy's private courses, after review for public ones); the previously published one becomes unpublished |
| Publishing a version that isn't the latest | first restores it on top, then publishes it |
Versions in the academic year
When you prepare a new year (Settings › Academic years › Prepare the new year), for each chosen course:
- the starting version is chosen: the latest published one; if the course was never published, the latest draft. In the Courses step you see Starts from and can pick another one;
- with Create a new draft version is born, named after the year (for example "Anno 2027/28"), a copy of the starting version with the new year's cycle and its lessons;
- nothing is published: the current year's students keep seeing the published version;
- with Publish the year the year versions of all courses are published in bulk; the previously published one becomes unpublished.
Example: Maths 3A has the June version published and a September draft by Ms Rossi.
| June version | Ms Rossi's draft | "Anno 2027/28" | |
|---|---|---|---|
| Before the new year | published | draft | — |
| After Create | published | draft, untouched | draft, copy of the June version |
| After Publish the year | unpublished | draft, untouched | published |
A teacher's open draft
If a teacher has an open draft (newer than the published version), the new year doesn't include it: in the Courses step the course shows Draft by … of … not included.
- The draft stays in the course's history, untouched: the teacher finds it in the Versions panel and can restore it any time. No notice is sent.
- If you want the new year to start from the draft, turn on Include the draft: the year version will be a copy of the draft.
Publish the year
| Course | Goes |
|---|---|
| The academy's private ("Internal only") course | online now |
| Public where only dates change, with Publish without review the public courses where only dates change on | online now |
| Public where something else changes, or with the switch off, or never published | to review |
"Only dates change" is checked by the system, course by course: if anything else changes compared with the published version (content, title, price, materials, chapters or lessons added or changed) the course goes to review. The new cycle's lessons don't count as a change.
After publishing, the control room shows for each course published, in review or error with the reason. A failed course is fixed and published again with Retry unpublished courses; courses already done aren't published again.
Changes during the year
A lesson change from the calendar with Applies to: This year only (the default) stays in the year's edition and doesn't create a course version. With Also in the baseline (following years) the change goes into the course, in a draft version, and into next year's plan.
Running editions
Each edition remembers the version it was born from. Publishing the new year's version doesn't change the current year's lessons: each edition has its own lessons, and the year version is a copy of the published one plus the new cycle's lessons.
